How to Write a Clear Request for Quotation

A practical RFQ structure that helps suppliers quote comparable products and commercial terms.

Product identity

Provide product name, photos or drawing, intended use, model and key specification.

Quantity and forecast

State sample quantity, first order quantity, forecast assumptions and whether repeat orders are expected.

Target market

Name destination country and any known certification, labelling, voltage or packaging requirements.

Commercial details

Ask for MOQ, sample cost, unit price by quantity tier, lead time, payment terms and quotation validity.

Evidence and open questions

Request relevant datasheets, test reports, company details and a list of deviations or assumptions.

Project-specific verification: Supplier identity, product specifications, pricing, availability, certifications, compliance, service scope and delivery timing must be checked for each transaction. This general guide is not legal, customs, engineering or compliance advice.
